From "is the service working?" to a documented, service-led operating model.

A large City law firm was preparing to move into a new flagship building with a substantially expanded audio-visual estate — client dining and event spaces, a large flagship auditorium, and divisible meeting rooms with complex AV requirements. Ahead of the move, the firm approached its AV partner directly and asked for a resource to come in and assess whether the on-site service was actually ready for it.

The challenge

The on-site AV team was organised around physical spaces rather than the services the business actually needed. There was no documented booking process, no shared view of what "good" looked like across the growing estate, and no way to tell — with evidence rather than impression — whether delivery was on track as the move-in date approached.

What the assessment found

What started as a short readiness assessment ahead of the move surfaced enough structural gaps in the service — organisation, process, documentation — that a closer look, and hands-on leadership, was the right call. That assessment led directly into embedded day-to-day management of the on-site team for the remainder of the engagement — the same escalation logic KHITServices applies through Health Check → Briefing → Review.

Flow diagrams covering both the platform-driven route and the direct-from-meeting-software route, plus a dedicated process for the divisible, higher-complexity rooms.

03 · Deliverable assurance framework

Evidence, not assumption

Dozens of AV deliverables tracked across every phase of the move-in programme, each scored against a consistent 0–1 scale — a live, evidenced picture of readiness rather than a verbal assurance that "it's on track."
